What this app is

AZMN SF is a private, internal integration. It connects the Network's own Salesforce system to the Network's own QuickBooks Online company so that contributions recorded in Salesforce are posted to our accounting books. It is used only by Network staff. It is not offered to the public and is not available to any other organization.

Information the app accesses

Through Intuit's QuickBooks Online Accounting API, the app reads and writes the following in the Network's QuickBooks company:

• Chart of accounts, classes, departments, and payment methods (read)

• • Customer and donor records as needed to credit contributions (read and write)

  • • Deposits, sales receipts, journal entries, and related transactions that record contributions (read and write)

    • From Salesforce the app sends contribution details: donor name, contribution amount, date, fund designation, payment type, and batch reference. The app does not access or store payment card numbers, bank account numbers, or Social Security numbers.

  • How we use it

• Only to keep the Network's accounting records accurate and current. We do not sell, rent, or share QuickBooks data with any third party. Data is not used for advertising or profiling.

Where data lives

QuickBooks data stays in QuickBooks Online. Salesforce data stays in Salesforce. The connector keeps a log of each sync (record identifiers, timestamps, status, and error messages) inside Salesforce for troubleshooting. Authentication tokens issued by Intuit are stored encrypted inside Salesforce and are never written to files, emails, or browser consoles.

Who can see it

Network finance staff and the Network's contracted Salesforce administrator, each under their own login with multi-factor authentication. Access is removed when a role ends.

Retention

Sync logs are kept for 24 months and then deleted. Accounting records in QuickBooks are kept under the Network's financial retention policy.

Security

Connections use TLS. Credentials for the connector are issued by Intuit's OAuth 2.0 flow and can be revoked at any time from the Network's QuickBooks company or the Intuit Developer portal.

Donors who have questions about how their contribution is recorded may contact the Network's accounting office at (602) 343-4000 or by mail at the address above. We will correct inaccurate records on request.

We will post any update to this page with a new effective date.
